1. Accounts and User Information
We collect account details including name, email, agency affiliation, license/NREMT numbers, passwords (hashed), and profile information to create and manage user accounts for Field-Sense.co access.
2. Voice Audio and Transcripts
Interactive simulations with AI virtual patients may record voice audio input from users and generate transcripts of conversations. These are used solely for performance analysis, debriefing, skills assessment, and improving simulation quality. Audio and transcripts are processed securely and associated only with your training account.
3. Cookies and Tracking
We use essential cookies for authentication, session management, and security. Limited analytics cookies help us understand usage patterns and improve the platform. You can manage cookie preferences through your browser settings; disabling essential cookies may prevent login.
4. Model Providers and AI Processing
Field-Sense uses third-party AI model providers (including but not limited to OpenAI, Anthropic, Google, and others) to power virtual patient responses, scenario generation, performance analysis, and CE content. User inputs (including transcripts and simulation data) may be sent to these providers under strict data processing agreements. No training data is used to train public models without explicit consent.
5. Data Retention
Account data is retained for the life of the subscription plus required compliance periods. Voice audio is retained for up to 90 days for quality review then deleted. Transcripts and performance records are kept for a minimum of 7 years to support CE credits, agency audits, and regulatory requirements, after which they may be anonymized or deleted upon request where permitted.
6. How We Use Your Data
Data powers dynamic scenario adaptation, skills decay tracking, CE credit logging, agency reports, and analytics. Anonymized patterns may train our clinical AI models under provider agreements.
7. Sharing & Disclosure
We never sell personal data and have no third-party data sharing integrations that constitute personal data sales. Information may be shared only with your agency administrators via your subscription, with sub-processors bound by DPA (AI providers, hosting), or as legally required. User data is automatically purged 30 days after account deletion per our DPA and Privacy commitments (except regulatory minimum retention where required for EMS CE records).
8. Protected Medical Training Records
Simulated patient encounters are treated with the same rigor as HIPAA standards. All training data is encrypted at rest and in transit. We host on compliant infrastructure.
9. Your Rights
You may request access, correction, or deletion of your personal data. Contact us to exercise these rights. Training records required for agency compliance will be retained per operational policies.
